Office celebration cakes: plan the people, budget and serving shifts
A practical guide for a Cumilla team celebration: count who will attend, settle the shared budget, approve one message and make the serving plan work.

Quick answers
- Count cake eaters by serving time, not just the staff list.
- Give one organiser authority to approve the final brief.
- Plan plates, storage, decoration removal and portions alongside the cake.
Count the people who will actually be there
A staff group may include remote colleagues, people on leave, reception staff and a later shift. A cake plan built from the total headcount can still leave someone out. Make a short attendance list for the actual serving time. If there are two groups, record them separately and ask how to handle the later portions under the cake’s storage instructions.
For example, a hypothetical team of 24 might have 16 people at the afternoon gathering and eight returning later. The task is not simply to order for 24 and put everything on a table. Decide who reserves the second group’s portion, where it stays and who serves it. The portion guide turns the headcount into a clearer conversation with Mari.
Make the pooled budget transparent
Separate the cake budget from the total event budget. Plates, spoons, napkins and agreed delivery may need their own line. As a calculation example only, a shared fund of ৳3,600 divided among 24 contributors is ৳150 each. That is not a cake quote. If some of that fund is reserved for supplies, compare the remaining amount with the final cake total rather than the headline base price.
Agree who collects contributions, who pays and who can approve a change. Keep the published price list as the starting reference, with design and delivery discussed in the final total. Do not circulate a studio estimate as if it were an accepted quotation.
Use one message that everyone understands
A team achievement cake can carry a short milestone, a project name or a thank-you line. Avoid squeezing a whole presentation slide onto the top. If a logo is essential, use an approved clear file and leave a separate area for the message. If the cake is for one person, use their preferred name and title rather than an informal label they may not enjoy in public.
| Purpose | Possible short direction |
|---|---|
| Project completed | One project name plus a thank-you |
| New colleague | A welcome line and the preferred name |
| Team anniversary | The team name and the year being marked |
| Professional qualification | The verified title and a concise congratulations |
Occupation-themed photographs in the portfolio show how one recognisable symbol can carry the idea. They do not establish that a business or institution is a client or partner. Treat them as design references, then make your own approved wording specific.
Plan the receiving desk and the serving table
An office address needs more than the building name. In your Cumilla handover note, add the entrance, floor, contact person and the agreed time. Ask whether the box and board will fit the available receiving and storage space. The person at reception should know who can accept the cake; a delivery arrival is not the moment to start locating the organiser.
Choose someone to remove non-edible decoration and cut the agreed portions. Ask colleagues about relevant dietary needs privately before finalising the cake; do not make assumptions from the menu name. Keep the information needed for ingredient questions in the order conversation without turning personal details into a public group-chat discussion.

Questions people ask
Should we order from the full staff count?
Count who will eat at each serving time, including any later shift. Then agree portions and storage for the actual arrangement.
Can the price estimator be shared as a final quote?
No. It is a base estimate. Mari confirms the cake’s design, any additions and the final delivery arrangement.
Who should approve the cake in a group order?
Choose one organiser to collect feedback and approve the final wording and specification, so conflicting messages do not reach the maker.
